Recommended Payrun Process

This document outlines the standard process for completing a payrun, including leave approval, payroll processing, payments, and Single Touch Payroll (STP) reporting.


Before you Start

  • Add new Employees personal and salary information
  • Add end dates to employment files for resignation or termination letters
  • Send reminder to employees to enter leave requests (Annual, Personal) and send to mangers for approval
  • Enter Public Holidays for the pay period (if required)
  • Send email reminder to submit Time sheet for pay period (If Required)

Step 1: Reconcile and Approve Leave

Leave events must be created and  approved before they can be included in a payslip.

  • Process:
    1. Review Unapproved Leave
    2. Either:
      • Approve the leave, or
      • Request approval from the relevant manager
    3. Review all Approved Leave for completeness
    4. Request/Add leave and approve, if required

Public Holidays

    • Enter public holidays either:
      • In advance for the full year, or
      • Prior to processing the payrun
    • Ensure all public holidays are correctly recorded and approved where required and across the different States and territories

Navigate to Reports menu > Event Reports

    • Select Public Holidays / Leave Events Listing

Navigate to Reports menu > Payroll Reports

    • Leave reconciliation

Tip: If you find a report useful, remember to save it to your Favourite Reports for quick access in the future.


Step 2: Run Manual Pays

This step is only required if you have new starters, final pays or one off payslips

All new starter information + End dates for resignations and termination pays should be entered

Step 3: Run Pay Run

Allows you to generate unapproved payslips for your employees for the selected pay cycle. If you have multiple cycles (Monthly, Fortnightly and Casuals) each cycle will need to be run separately.

Process:

  1. Enter Pay date
  2. select Period
  3. Select Cycle
  4. Tick Set next cycle
  5. Click Create
  6. Review and reconcile before approving
  7. Save the worklist

Select the Print Icon in the browse payslip window or Navigate to Reports menu > Payroll Reports

Step 4: Approve Payslips

Use bulk actions to approve all payslips:

  1. Select all payslips - To select all, hold the shift key, then select then fist payslip, then select the last payslip. This should highlight all payslip and the bulk actions should appear on the right
  2. Mark as Ready
  3. Approve payslips


Step 5: Email Payslips

Use bulk actions to email payslips:

  1. Select all payslips - To select all, hold the shift key, then select then fist payslip, then select the last payslip. This should highlight all payslip and the bulk actions should appear on the right
  2. Select Print
  3. Destination email
  4. Check email addresses
  5. Send


Step 6: Pay Payslips (Batch Payment Process)

This process will generate an ABA file for upload to the bank.

Use bulk actions to email payslips:

  1. Select all payslips - To select all, hold the shift key, then select then fist payslip, then select the last payslip. This should highlight all payslip and the bulk actions should appear on the right
  2. Click Pay
  3. Select Finalise batch payment
  4. Check/change export file directory, where the ABA file will be saved
  5. Print EFT - Only if you need a pdf copy of the ABA file
  6. Review the Total amount
  7. Finalise EFT



Step 7: Single Touch Payroll (STP) Reporting

A new STP document must be created and submitted to the ATO for the current pay period.

  1. Navigate to: Payroll > Single Touch Payroll > New Document
  2. Under the heading Prepare new document for submission - Select the current pay period date
  3. Click Prepare New Document for Submission
  4. Review and Reconcile - Use the recommended reports below.
  5. Select Submit to the ATO - File status will change to sent to ATO
  6. Select Get update from ATO - File status must change to accepted


Navigate to Reports menu > Payroll Reports

    • Select STP / SBR Reconciliation Summary Report
    • Select STP / SBR Reconciliation Detailed Report
    • Select Payslip Listing

These reports are typically available by default. If not visible, they can be configured using the Report Layout function in the Reports window.
