Introduction to User Maintenance

Access to JobBag is controlled via Users and Groups. While it is possible to set up a range of privileges for every user in each organisation, it is usual to find several users who require the same level of  privileges. For this reason, we define the privileges for a given 'Group' of people, then allocate each user to one group or another. A Group can be assigned any privilege.

A user is an individual who is given access to JobBag functions. Each user has a log-on name and a password.

Navigate to: File > Administration > Users maintenance


Setup Password Security Settings

This is where you decide on the length of your passwords and how frequently the password has to be changed. This is set for the whole company. Refer to

Administration Privileges

Decide who will have the privilege to access the user maintenance area. You can assign 'Administration' privileges to any group of staff. This group of users will be able to add users, set passwords, assign privileges to groups and amend password security settings. Administration Privilege


Create Groups

A group is one or more individuals who are assigned access to one or more functions in JobBag. Create a group of Users

Note:  When access privileges assigned to a group are changed, all members of the group are automatically assigned the changed privileges.

Note: Only those with Administration Privileges have the correct access privileges to perform this procedure.


Assign Access Privileges to a Group

This is where you decide and assign privileges to groups eg the ability to create a new client record.  Assign access privileges to groups


Add / Remove Privileges to a Group

You can add or or remove privileges from a group. Add / Remove Privileges to a Group


Create a new user and assign to a group

A user is an employee / freelancer who is given access to JobBag functions. Each user has a log-on name and a password. Create new user and assign to a group


Reset 2FA for user if it is required for their user group

External Users

If you have two databases and your employees process jobs and timesheets in both databases. External users can be imported from a database that contains a licenced user. Refer to process in External Users


Order of Creation

The order for creating users and groups and assigning privileges is: 

  • Setup password security settings
  • Decide which group or groups will be granted administration privileges
  • Create groups
  • Assign access privileges to these groups
  • Create Users and determine their logon user name and initial password
  • Create a new users and assign to a group i.e. make them members of a group
  • reset 2FA authentication for user if it is required for their group
