Settings and Privileges for Expense Claims

Ensure the correct settings and user privileges are configured so expense claims can be created, approved, and processed correctly in JobBag.


Overview

You can configure JobBag to:

  • Allow certain users to approve expense claims
  • Allow some users to create claims but not approve them
  • Require all claims to go through an approval step before they are posted and paid

Privileges for Users Who Can Approve Expense Claims

Navigate to: File > Administration > Users Maintenance

For users who are responsible for approving claims, ensure the following options are selected:

  • View expense claims
  • Create and edit expense claims
  • Access other users’ expense claims
  • Approve expense claims
  • Edit approved expense claims

Privileges for Users Who Can Create Claims (But Not Approve)

Navigate to: File > Administration > Users Maintenance

For users who can submit expense claims but are not permitted to approve them, ensure only the following options are selected:

  • View expense claims
  • Create and edit expense claims

Important: Do not select any approval-related privileges for these users.


Turn On Expense Claim Approvals for Your Organisation

Enable this setting if your organisation requires managers to review and approve claims before they are posted and paid by finance or management users.

If this setting is not enabled, finance or management users can approve and post claims in a single step.

Navigate to:

Costing > Supplier Invoices > Settings

  1. Click Settings
  2. Select the option: “Web expense claims need to be approved and posted in two steps”

Summary

Once configured:

  • Users have the correct permissions based on their role
  • Expense claims follow your organisation’s approval workflow
  • Claims are approved, posted, and paid in line with internal controls
