How to Create a New Chart of Accounts
Use the following steps to create a new General Ledger (GL) account in JobBag. The following process can be used to create new accounts for all account types listed below
Step 1: Navigate to the Chart of Accounts
Go to: Ledger > Chart of Accounts
Step 2: Select the Relevant Trial Balance Category
Scroll or use the filters to locate the Trial Balance (TB) category for the account you want to create (for example: Income, Expense, Current Asset, or Current Liability).
Step 3: Determine the next GL Number
Decide on the new GL number based on the next available number within the selected category.
Step 4: Clone an Existing Posting Account
- Select an existing posting account within the same TB category
- Click Clone
Step 5: Complete the New GL Account Details
Update the following fields:
- GL Number
- Account Name
Review all other settings to ensure they are correct before saving.
Step 6: Create a Kind
- In the bottom-left corner, tick the Create Kind box.
- A New Kind window will appear. Complete the fields as required.
- You can create later if needed, but if you plan to use this account for Estimates, Billings, Purchase Orders, Expenses, Payments, Receipts, or Timesheets, a kind must be created before it can be used.
Cloning
Cloning a posting account from the same TB category ensures the following settings are carried across correctly:
- Account Type
- Totalling
- Reporting
- Sign
- Add to Account
Always review these fields after cloning to confirm they are complete and accurate.
Account Types
JobBag uses different account types in the Chart of Accounts, such as Posting, Totalling, Supplementary, and Text accounts. Only posting accounts can have transactions recorded against them, while other account types are used for reporting, grouping, and display purposes. Understanding the account type ensures transactions post correctly and appear in the correct section of financial reports.
