WIP & Accruals Review Process(New)

WIP & Accruals Review Process

This page outlines a practical, structured approach to reviewing WIP & Accruals in JobBag.

By reviewing jobs by Status, you can deal with jobs of a similar nature as a group, making the process faster, clearer, and more consistent.

Overview of the Review Process

The recommended review order is:

1. Review Live Jobs

(Job Status: Proposed, Live, On Hold)

For live jobs, review the following:

  • Costs incurred on the job
  • Amounts billed to the client
  • Whether any cost accruals are required for costs not yet received

Key question:

👉 Are there costs missing that should be accrued to match the billings?

2. Review Complete Jobs

(Job Status: Complete)

For completed jobs, review:

  • Outstanding purchase orders
  • Whether all expected supplier invoices have been received

If expected costs are still outstanding:

  • Accrue the costs so profit is not overstated
  • Normally, these costs should be supported by purchase orders
  • If no purchase order exists, you can use Implied Costs to accrue the expected costs

Key question:

👉 Are all costs that relate to the job accounted for?

3. Review Dead and Cancelled Jobs

(Job Status: Dead and Cancelled)

For dead or cancelled jobs:

  • Review the final result on each job
  • Investigate any balances or results that appear unusual or material

These jobs should generally have no WIP or accrual balances remaining.

Important Note – First-Time WIP & Accruals

When WIP & Accruals is run for the first time for a new client:

  • Dead jobs with no transactions will not impact WIP & Accruals
  • These jobs will not appear for review or confirmation

Reviewing Dead and Dead* Jobs – Summary Process

  • Open the WIP & Accruals window
  • Display the Filter panel

Key Columns to Review

Pay close attention to the following columns:

  • Outstanding POs

  • External WIP Cost
  • WIP Value
  • WIP Billings
  • Write-on
  • Write-off
  • Future Invoiced (used for reviewing DEAD* jobs)
  • Future Value (used for reviewing DEAD* jobs)

What You Expect to See

For Dead and Cancelled jobs, the following columns should normally be zero:

  • Outstanding POs
  • Accruals
  • External WIP Cost
  • WIP Value
  • WIP Billings

If any of these contain values, they should be investigated.

Reviewing Write-Ons and Write-Offs

  • Write-on

The amount by which client billings exceed the value generated on the job.

  • Write-off

The amount by which value generated exceeds the billings raised to the client.

Large or unusual write-on or write-off amounts should be reviewed and discussed with the Account Manager where appropriate.

Confirming Jobs

  • Review each job carefully
  • Confirm jobs as you go by clicking the checkbox
  • This ensures only reviewed and agreed results are posted
