Using Keywords in JobBag
Keywords in JobBag are powerful labels that help categorise and search for address book records (clients, suppliers, contacts), jobs, and individuals. They provide additional context beyond names—helping you understand what a person, company, or job is about at a glance.
What Are Keywords?
Keywords are descriptive tags used to classify:
- Clients, suppliers, prospects, banks
- Employees and contacts
- Jobs or job types
⭐ Example: You might add the keyword “Printers, Photographer, Hair stylist” to a supplier to quickly identify and group selected suppliers
How to Access Keywords
You can access Keywords in the desktop application.
💻 Desktop: Navigate to: JobBag menu > Keywords
How to Create a Keyword
Keywords can be creates at a group and/or sub group level
- Go to JobBag menu > Keywords
- Select the Group the keyword applies to (e.g. Companies & People)
- Select the sub Group the keyword applies (e.g Suppliers)
- Click the ➕ icon on the toolbar - Add new keyword to Suppliers
- Type your keyword (e.g. Printers, Photographer, Hair stylist)
- (Optional) Select a Subgroup and click Include in Subgroup
- Press the ✅ green tick to save
💡 Repeat steps 4–6 if you want the same keyword to appear in more than one subgroup.
Allocating Keywords
You can allocate keywords from the keyword panel (or icon) on any record window.
📌 To allocate a keyword:
- Open a record (supplier, job, client, etc.)
- Click the Keyword icon or keyword panel
- Double-click a keyword or click Add
- Save
Keyword Groups & Sub-Groups
- Groups are top-level categories (e.g. People, Companies)
- Sub-Groups are optional, second-level categories that make allocation easier (Suppliers)
✅ Every keyword belongs to a Group
✅ The same keyword can be added to multiple Sub-Groups
🗂️Example:
- Group: Companies
- Sub-Group: Type of Business (Suppliers)
- Keywords: Printers, Photographer, Hair stylist
🎯 Targets
Define where and how your Keywords are applied in JobBag.
Use Targets to specify which record types a Keyword should be associated with—such as:
- Supplier records
- Client records
- Job records
You can also tick Mandatory if you want to ensure the Keyword must be added to the selected target type (e.g. all suppliers must have a keyword assigned).
Tip: This is a useful way to enforce data consistency across your address book and job records.
Keyword Reports
Use keywords to gain insight into your data:
📊Examples:
- Quickly identify suppliers who print magnets
- Find all Annual Reports with similar specs (e.g. 13–24pp) for quoting purposes
To print a keyword report:
- Go to the Keyword window
- Click the Print icon
- Choose a Group or Category
- Set your report detail level and destination
- Click ✅ to run the report
📘 Practical Tips for Using Keywords
- For suppliers: Use keywords to describe their services (e.g. Magnets, Offset Print, Colour Proofs)
- For jobs: Use keywords like Annual Report, 13–24pp to support quoting and comparisons
- For contacts: Add tags like Decision Maker, Creative Director for targeted communication
