Tasks and Timesheets
Welcome to Tasks and Timesheets - your central hub for managing work, tracking time, and staying on top of everything from client deliverables to internal admin. Whether you're scheduling tasks, logging hours, organising wip meetings or recording Public Holidays, this feature is designed to streamline your workflow and boost productivity.
Below is a breakdown of how each element works and how to get the most out of the Calendar and List Views.
⏱ Timesheets
In JobBag (JBX), there are two main ways to record time:
1. Create Button
Use the Create button (top left corner of the Calendar & Tasklist view) to log time with or without an assigned task.
2. Timesheet Icon
The clock symbol appears across multiple locations in JBX including:
- Dashboard
- Calendar
- Task Lists
- My Active Tasks
- My Past Tasks
Clicking the icon lets you log time directly against the relevant task.
✅ Tasks
Create tasks using the Create button (top left in the Tasks & Timesheets view).
Tasks in JBX represent specific activities that need to be completed—ranging from simple admin to large project milestones. Tasks can be:
- Assigned to individuals or teams
- Budgeted with specific hours
- Scheduled with start and due dates
Timesheets are logged against these tasks to help track time, workload, and budgets.
📅 Events
Events can be created using the Create button or from the Diary tab within a job.
Events help schedule:
- Internal meetings (e.g., WIP)
- External meetings with clients
- Public Holidays
- Key project dates (e.g., deadlines, rollovers)
💼 Items
Items can be created using the Create button.
Items are used to record studio or production expenses against a job. Common examples include:
- File transfers
- Colour proofs
- Art supplies
- Scans and output
These can later be billed to the client as part of your job cost tracking.
📆 Managing Tasks, Timesheets & Events
JobBag offers two flexible views for managing tasks and time:
🗓 Calendar View
Flexible Viewing Options
- Day / Week / Month View: Toggle between views depending on how much detail you want to see.
Task Display & Visibility Control
- Toggle tasks: Show completed, incomplete, or both.
- Visibility settings: Show or hide weekends, tasks, timesheets, public holidays, leave, and items.
Key Features
- Timesheet icon: A universal time tracking symbol available throughout JBX (Dashboard, Calendar, Task Lists).
- Create button (top left): Add timesheets, tasks, events, or items.
- Ellipsis menu (⋯): Use to edit, duplicate, delete or forward a timesheet or event.
Managing Leave & Events
- Track Annual Leave, Personal Leave, and Public Holidays directly within your calendar.
Enhanced Usability
- Drag & Drop: Easily move tasks or events to a different day.
- Capacity Bar:
- Visual indicators of workload.
- Grey means tasks
- Blue means timesheets
- Green mean Events
- Your timesheets track against daily hours to help ensure completeness.
📋 Task List View
Task Lists
- Active Tasks: Due within the next 7 days.
- Past Tasks: Active and completed tasks from earlier dates.
- Custom Task Lists: Create your own list tailored to your workflow.
Search & Customisation

Search: Use filters to find tasks quickly.Visibility Options:
- Timesheet icon
- Auto timer icon
- Task name
- Job number & description
- Assigned user
- Days remaining
- Start & due dates
- Task status and progress
- Completion checkbox
Key Time Features
- Timesheet icon: Track time directly from tasks.
- Progress bar: See how much of the task is completed; red indicates over budget.
- Auto timer: Start and stop time tracking with one click. Don’t forget to stop it - this generates your timesheet!
