Event Types Settings

Diary events in JobBag are used to schedule meetings or reminders that can be associated with specific jobs or projects. They are useful for organising recurring weekly internal WIP meetings, important external client meetings, as well as annual or personal leave requests. These events help track key dates, such as deadlines, talent rollovers, and birthdays.

Diary events can be shared with team members, includes alerts for upcoming meetings, and integrates with external calendars like Outlook or Google Calendar. Most importantly, these events can make it easy to add timesheets for selected events. Typically, events are scheduled within the active diary calendar or in the diary tab of the jobs window.

There are three main Event types Public Holiday, Leave Events and Other Events.


Add New Event Type



Let’s explore some of the options available in the event window

Field Name Field Description
New Event Type Select “New Event Type” to create a new event
Duplicate Duplicate reduces time setting up new events that have the same characteristics. Duplicate will create a new event and duplicate the exact information from the existing event. After duplicating, you can modify any specific details (e.g. description and notes).
Delete Makes the record inactive. Can be reactivated if required
Event Type There are 3 event types Public Holiday, Leave and Other (meetings and reminders)
Event Type Name This is the name of the selected event. Common event descriptions include Internal meetings, client meetings, Public Holiday and Annual leave
Event Description Briefly describe what the event is and how the event should be used
Mark as inactive Tick this box if you wish to mark an event complete
Event is complete by default This will mark the event complete when created
Allow Inviting multiple people Allow Inviting multiple people to an event means adding several participants to a meeting or event, typically through the active dairy or the job window (Diary Tab)
Dates
  • Can elect to make start/end dates optional and
  • specific due date refers to a clearly defined deadline for the calendar event.
Times
  • Full day event - is a calendar entry that spans an entire day, without specifying exact start and end times within the day. Common events to default whole day are leave, talent rollover and birthdays events.
  • Default event duration - Allows you to enter a start/stop time for the event. Common events to use this default would be client meetings, internal meetings
Alerts

Never miss a meeting by electing to receive an alert. Can be set as;

  • by minutes(s),
  • hour(s),
  • day(s)
  • none
Address Book field

Specify if address book information is required for an event. Can be set as

  • Required - Address book field will be displayed. Adding a client/supplier name will be mandatory
  • Display, optional - Address book field will display but adding a Client/Supplier name is optional
  • Do not display - Address book field will not display
Contact field

Specify if contact information is required for an event. Can be set as;

  • Display, optional - Contact field will be displayed. Adding a Contact name is optional
  • Do not display - Contact field will not display
Job field

Specify if Job number information is required for an event. Can be set as;

  • Required - Job number field will be displayed, adding a job number will be mandatory. If the event is created from the job, the job number will auto populate this field
  • Do not display - Job number field will not be displayed
Plan type
  • Tentative - Show in calendar as Tentative
  • Busy - Will show in calendar as Busy

FAQ Events

Can’t invite others to an event?

Tick “ Allow Inviting multiple people” Allow Inviting multiple people to an event means adding several participants to a meeting or event, typically through the active dairy or the job window (Diary Tab)

How to add a client or a job number to an event?

Address Book field

Specify if address book information is required for an event. Can be set as

  • Required - Address book field will be display. Adding a client/supplier name will be mandatory
  • Display, optional - Address book field will display but adding a Client/Supplier name is optional
  • Do not display - Address book field will not display
Job field

Specify if Job number information is required for an event. Can be set as;

  • Required - Job number field will be displayed, adding a job number will be mandatory. If the event is created from the job, the job number will auto populate this field
  • Do not display - Job number field will not be displayed
