Client Statements

Client Statements allows you to send your clients a monthly summary of all outstanding amounts. Statements list unpaid invoices as at the statement date, along with any additional job or contact details you choose to display.


Process: Creating Client Statements

1. Navigate to Client Statements

Go to: Reports menu > Accounts Reports

2. Select Client Statements

From the report drop down list, select: Client Statements

3. Choose the Statement Options

Select the options you want to include on the statement.

Below is a guide to each field:

Field Description
Statement dated The date that will appear on the statement.
Show 'Attention' line Prints the client’s financial contact.
Show order numbers Displays the client order numbers entered on the job.
Show job numbers Displays the job number linked to each invoice.
Show job title Displays the title of the job for which the invoice was raised.
Show job contact Prints the job contact associated with the invoiced job.
Suppress: Ignore period Lists all invoices created up to the statement date.
Suppress future period transactions Excludes transactions dated after the current system period (e.g. system in Feb 2023 → excludes transactions after Feb 2023).
Suppress current and future period transactions Excludes invoices from the current period and all future periods.
Only include outstanding amounts Prints only unpaid invoices based on the selected period options.
Re-evaluate historic data Includes transactions that have previously been reported on.
Age by due date Groups outstanding invoices by due date.
Age by issue date Groups by invoice issue date.
Age by issue month Groups by the month the invoice was issued.
Age by period Groups by financial period.
Report business units by client (if applicable) If clients have business units under a parent company, this creates a single consolidated statement listing all transactions.
Select clients by division Choose divisions (if multiple) from which to generate statements.
Select clients Choose the specific clients to receive statements.
Print text block Insert a predefined text block on statements, if applicable.

Statement Run Behaviour

When you generate client statements, new invoices will appear on the next statement run until they are fully paid.

After printing statements, you may be prompted with a message asking whether fully paid invoices (that appeared on this statement) should be marked so that they do not appear on future statements. This helps keep statements clean and focused only on current outstanding amounts.
