Creating a Media Client Invoice

  • Client invoices are generated from “booked” media spots.
  • Invoices must cover the entire plan period (e.g. 1–30 Nov 2018). Partial periods (e.g. 1–15 Nov) are not allowed.

Steps:

  1. Create a media plan with two booked lines.
  2. Click Create Invoice. Select the booked items to include, then click Save.
  3. The media client invoice is generated.
  4. Log the invoice.

The booked items in the media plan will turn green, indicating they are now invoiced.


Need to change the supplier on a PO after invoicing the client?

  1. Find the PO: Click Find PO(s) to locate the PO with the incorrect media supplier. Leave this window open in the background.
  2. Reverse the Booking: Edit the booking and cancel or reverse it.
  3. Remove the Line: Delete the affected line from the media booking.
  4. Save the reversed booking.
  5. Rebook with Correct Supplier: Create a new booking using the correct media supplier. Use the same details as the reversed booking.
  6. Review: Your media plan should now show the updated booking.
  7. Create POs: Create new POs—one for the new supplier, one to reverse the old.
  8. Invoice Handling:
    • Enter the correct PO date and click Create.
    • Create and log a NIL client invoice (or ask Finance to do this). Do not send to client.
    • Finance must create a receipt journal to write off the NIL invoice.

Create a Credit note for an invoiced booking

  1. Click Create Credit Invoice button at the top of the Media Plan page.
  2. Select the booking(s) to credit — e.g., select those that need a credit note.
  3. Click Save to log the credit note.
  4. The selected booking’s status changes to Booked (in red), ready to be re-invoiced.
