Job Status

Job Status indicates the stage a job is at — from planning through to completion or cancellation. It helps everyone in your organisation quickly understand a job’s lifecycle.


What is Job Status used for?

  • Shows the overall stage of the job (not the current activity — use the 🗓️ Visual Planner for that)
  • Used in reports and job lists to track progress
  • Customisable to suit your organisation’s workflow
  • Assigned per Job Type — different Job Types can have different Job Statuses
  • Visual indicators — colours help differentiate statuses in the job worklist

Customising Job Status

Navigate to:

File > Configuration > Jobs > Job Statuses

Here, you can:

  • Add new statuses
  • Rename or colour-code existing ones
  • Group statuses (e.g. Proposed, Live, Completed)
  • Attach statuses to specific Job Types

💡 Tip: You can create specific workflow statuses like Ready to Bill, Waiting for Client, etc.


Default Job Status Definitions

Status Definition
Proposed The job has not yet been approved. You may record initial costs, but it must be made Live to raise invoices. If unapproved, change status to Cancelled.
Live Work is underway. Invoices and costs can be recorded. This is the main working status.
On Hold Work is paused at the client’s request or due to delays. You can still enter costs and raise invoices.
Cancelled The job did not proceed — e.g. lost pitch or unapproved proposal. Usually not invoiced.
Complete All tasks are complete. Final invoice may be raised, but some purchase orders may still be open. Not yet Dead.
Dead Final stage. Job is fully invoiced and closed. Costs can no longer be added (based on user permissions).

Status Groups and Customisation

You can group and create your own statuses:

Example 1:

Create “Ready to Bill” within the Live group to help accounts identify billable jobs.

Example 2:

Expand Proposed to include:

  • Waiting on Client Approval
  • With Creative Team

Each status can be colour-coded for quick reference in the Jobs Worklist.


Linking Job Types and Job Statuses

You can control which statuses apply to which Job Types.

Example:

The status “Ready to Bill” doesn’t apply to the Client Forecast job type.

If linked correctly, users won’t see that status when creating that job type.

⚠️ Be careful to only assign relevant statuses to avoid confusion.
