Search for jobs
Find: Selecting this button in the right-hand menu of the Jobs Window calls up the Job Search dialog. |
Job Search Dialog
Search Criteria
Search criteria are grouped by type.
Each group of criteria is collapsible when the section header is clicked. When you collapse a section in which you’ve specified search criteria a summary of those criteria is given. In the search below, “Proposed, Live and On hold” jobs that contain the title “cookies” dated between the 1st of January and the 31st of May and are retainer jobs are the selected search criteria.
All sections except the “Job Numbers” section are collapsed by default. JobBag will remember which sections were expanded for the next time the Job Search dialog is opened.
Search by Job Number
When you search on job number the job that matches the job number exactly will be retrieved regardless of your other search settings.
Saving Search Criteria
JobBag always starts with a blank search when you open the search window. This prevents you from having to clear all your previous search settings. This may seem strange at first but keep in mind that if you use the same search very often JobBag allows you to save your search as a dynamic worklist. Casting a slightly wider net and using the search filter in the worklist can often save you the hassle of opening the search window, filling in all your search criteria, performing your search, going back to the jobs browse windows, and repeating these many steps over and over again.
If you do want a specific search to come up each time the search window is opened you can use the sets logic to save the search as your default set so the functionality is still available to you.
Search by: Job Numbers
These are the search parameters available under the Job Numbers section:
These are some of the most commonly used filters related to the job. Here you can search on the job number, or a range of job numbers, search on the job title, specify whether you want to include master jobs and sub jobs, etc.
The job title filter is a free text search that includes both the job title and job short name fields. This means JobBag will attempt to find jobs based on synonyms as well.
Search by: Date Range
These are the search parameters available under the Date Range section. These are various filters based on date ranges.
Search by: Clients
The countries referenced here are the countries of the clients, so to some extent, these two search options are mutually exclusive. If you search for all jobs belonging to clients within Australia but you also filter on a client that is not located in Australia, you will not find any jobs.
Search by: Account Executive/Account Director*
In the screenshot above, we are searching for all jobs where Alan Bond is the account executive and all jobs where Sandy Hope is the account executive, but the account director for all these jobs must be Robert Martin.
This section may be named differently in your database as the labels “account executive” and “account director” are configurable.
Search by: Billing information
These filters relate to how and if jobs have been invoiced. Note that one filter that would fit here as well, when a job has been invoiced, is found in the date ranges section.
Search by: Planning
This filter relates to planning on Jobs. If the checkbox for “Jobs with Tasks” is selected, only those will apply.
Search by: Notes and keywords
Here you can find jobs based on the contents of notes and specifications and find jobs that have contained certain keywords.
Note that the notes and specification filter is a free text search. This means JobBag will attempt to find jobs based on synonyms as well. Also when searching on container keywords you will find jobs that have keywords contained within that container keyword.
Search by: Progress
These are the search parameters available under the Progress section:
These filters allow you to search for jobs where more then a certain percentage of budget or traffic is used.
Budget used is calculated by taking the total value on the job and expressing this as a percentage of the total accepted quoted. Traffic used is calculated by taking the total value on the job related to traffic and expressing this as a percentage of the total budget made available within traffic. This thus ignores any value related to kinds not shown in traffic.
Both percentages can be added as columns in the work list.
Search by: Limits
This is not section but are two filters always shown at the end of the search criteria:
The limit selection to filter allows you to restrict the number of jobs that are found. It will restrict this based on when the job was created. Say you set this filter to 10 it will find the last 10 jobs that have been created in the system that match the filter.
Ticking the “include only jobs created or last modified by yourself” option will result in only jobs being retrieved on which you’ve made changes. This is a quick way to find jobs you have been involved with.
